Terms & Conditions
By enrolling a learner in swimming lessons with Swimsations, you agree to the following Terms & Conditions. These are in place to ensure fairness, consistency, and the smooth running of our programme for all families.
1. Lesson Bookings & Attendance
1.1 Lessons are booked on a recurring basis for a specific day, time, and venue.
1.2 Your booking reserves a space exclusively for your learner. This space is held regardless of attendance.
1.3 If your learner is unable to attend a scheduled session, a minimum of 48 hours’ notice must be provided.
- Where sufficient notice is given, the lesson is eligible for a catch-up session, subject to availability.
- Where less than 48 hours’ notice is provided, the session will be considered as having taken place and cannot be credited or rescheduled.
1.4 This policy ensures fairness and allows other learners the opportunity to attend available spaces.
2. Cancellations & Notice Period
2.1 Should you wish to cancel your swimming lessons, a minimum of 4 weeks’ notice is required.
2.2 Notice must be provided in writing via email to the relevant Swimsations management contact. This cannot be communicated through your instructor.
2.3 Payments remain payable during the notice period, and lessons will continue as scheduled unless otherwise agreed.
2.4 Failure to provide the required notice may result in charges for the notice period.
3. Catch-Up Lessons
3.1 Catch-up lessons are offered at the discretion of Swimsations and are subject to:
- Availability
- Instructor capacity
- Venue scheduling
3.2 Catch-up sessions are not guaranteed and are intended as a goodwill option where possible.
3.3 Catch-up lessons must be used within a reasonable timeframe and cannot be transferred or refunded.
4. Payments & Fees
4.1 All lesson fees are payable in advance and collected via the agreed payment method.
4.2 Missed lessons due to non-attendance, illness, holidays, or late cancellations are non-refundable.
4.3 Swimsations reserves the right to review and amend pricing. Any changes will be communicated in advance.
5. Instructor Allocation & Continuity
5.1 We aim to provide consistency of instructor wherever possible to support learner progression.
5.2 However, instructor changes may occasionally be necessary due to illness, holidays, training, or operational requirements.
5.3 All instructors are fully qualified, vetted, and trained to deliver lessons in line with Swimsations standards.
6. Health, Safety & Welfare
6.1 It is the responsibility of the parent/guardian to ensure that learners are fit to participate in swimming lessons.
6.2 Learners should not attend lessons if unwell, particularly with contagious illnesses.
6.3 Swimsations reserves the right to refuse participation if a learner’s health or behaviour presents a safety risk.
7. Behaviour & Conduct
7.1 Respectful behaviour towards instructors, staff, learners, and facilities is expected at all times.
7.2 Swimsations reserves the right to withdraw lessons with immediate effect where behaviour is deemed unsafe or inappropriate.
8. Photography & Media
8.1 From time to time, photos or videos may be taken during lessons for training or promotional purposes.
8.2 Consent preferences can be updated at any time by contacting management and via your Swimsations Portal.
9. Venue & Facility Access
9.1 Parents/guardians must follow all venue rules, including arrival times, poolside access codes, and supervision requirements.
9.2 Swimsations is not responsible for venue-related issues outside of our control (e.g. facility closures, maintenance).
10. Amendments to Terms & Conditions
10.1 Swimsations reserves the right to update these Terms & Conditions as required.
10.2 Any significant changes will be communicated via email or the customer portal.
11. Acceptance of Terms
11.1 Enrolment in swimming lessons confirms acceptance of these Terms & Conditions.
